1.  CLOSING DATE

All applications received before/on 31 March 2011 will receive preference.  Late applications will only be received until 20 April 2011.

2.  APPLICATION

With the choosing of a stall site, it is important to make sure that your total structure fits into the space.  (This includes ropes, pegs and tow bars).  Since products can differ annually, it is very important that in ALL applications the products must be described in full, even if you have been to previous FZN Festivals.  Applications without photos will not be considered.  It is very important to indicate all preferences on the application form.  The committee will keep requests in consideration when allocating stall sites.

3.  APPROVAL OF STALLS

The selection of stalls is necessary to ensure high quality and to minimize duplication of products.  To prevent stagnation, new stalls will be approved annually.  To have a stall at a FZN Festival is therefore not a guarantee that the stall will be approved again the following year.  The committee will grant preference to handcrafted products and products with an outdoor theme.  The selection of stalls is done by an independent committee.  The decision of the committee is final and no further correspondence or discussion will be entered into.  Stalls that have not been approved will be notified in writing.

It is the responsibility of the stall holder to enquire should no correspondence be received by 20 April 2011.

Should the application be unsuccessful and the stall holder still comes to the festival, the FZN Festival committee accepts no responsibility to accommodate such a stall.  Illegal stalls will be removed and strict measures will be taken against trespassers.  If your application is not successful, please do not do any payments into the FZN Festival account.  Such a payment will not give anyone the right to insist on a stall space at the festival.

4.  CANCELLATIONS

Should a stall holder cancel before 31 March 2011, a non-refundable cancellation fee of 10% will be charged.  On cancellation after 1 April 2011, no refunds will be made.

5.  PAYMENT

Successful applicants will receive an approval form.  The required amount as indicated on the approval form must be paid into the FZN Festival account or at the Festival office before/on 20 April 2011.  Please indicate your reference number on the deposit slip and FAX THE PROOF OF PAYMENT AS WELL AS THE COMPLETED APPROVAL FORM TO THE FESTIVAL OFFICE.           
If no payment has been received by 20 April 2011, the stall will be cancelled and the stall site allocated to another stall holder.

6.  REGISTRATION OF STALLS

All stalls must be set up by 18:00 on Thursday, 12 May 2011.  All approved stalls to register at the Clubhouse on the Festival grounds from 08:00 on 12 May 2011.
At registration, stall holders will receive all permits required.  Stall holders who wish to register before Thursday, 12 May 2011, but at different hours from the above, must contact the Festival office to arrange a different time.  Stall holders who do not register before Thursday, will forfeit their stall site and it will be rented out to other stall holders.

7.  TRADING HOURS

Friday and Saturday: 09:00 till late. It is suggested that Stalls trade until after the last performanceon both evenings.
Sunday: Optional – It is suggested that the arts & crafts stalls, together with the food stalls, trade on Sunday, as a range of activities is planned for this period.

Stall holders on outside stall sites must supply their own lights.  It is compulsory for all stall holders to trade for the full two days.  Stall holders that don’t trade until 18:00 on Saturday, 14 May 2011, will not be approved for future FZN Festivals.

No exceptions to the above times will be allowed.

8. ALLOCATED STALLS SITES

Specific stalls sites can be requested, but will not necessarily be allocated.  The committee may move stalls at their own discretion until the FZN Festival takes place.  No moving of stalls to another site will be allowed during the FZN Festival.

9.  FREE ENTRANCE TICKETS

Craft Market and Food stalls will be accorded one free entrance ticket, while commercial stalls will be accorded two free entrance tickets.  It is not possible to give free entry tickers to all the workers, who then will be liable for the normal entrance fee.

10.  FOOD STALLS

All food stalls must comply with health and safety regulations.  It is compulsory that each food stall holder has a fire extinguisher.  Safety inspectors will do inspections during the FZN Festival.  Sub-standard electrical equipment will not be allowed on the premises.

11.  SUBLETTING OF STALL SPACE

No subletting or sharing of stall space is allowed.

12.  ELECTRICITY

The amount of ampere allocated to your stall will be indicated on the approval form.  Allocated electricity is worked out on one power point and one electric plug.  More electricity is available at extra cost and must be arranged before the festival.  Any special lighting is the responsibility of the stall holder at own cost.  Stall holders are responsible for their own extension cables.

13.  PRODUCTS

Only products indicated on the approval form may be sold.  This does not necessarily include all the products on the application form.
NB: No BB Guns, laser lights or ketties may be sold or handed out at the FZN Festival.

14.  CAMPING ON FESTIVAL GROUNDS

Only stall holders who have applied as such, may sleep at the stall space.  There are a few camping sites for stall holders available behind the marquees at extra cost.  (Please indicate on application form).  There will be designated toilets and showers for stall holders.  Special entrance tickets to these ablutions will be given to stall holders.  NO Overnight camping is allowed on the festival grounds outside the allocated areas.  It is important that accommodation for extra workers is organized elsewhere, as there is not enough space on the festival grounds.

15.  VEHICLES

Each stall holder will receive one vehicle permit, and commercial/expo stalls two permits.  Delivery time is daily until 9:00.  This vehicle permit must be completed fully and shown on the windscreen at all times.  NO vehicles are allowed to park at the stall space.  Exhibitors who make use of the camping sites behind the marquees, may park their vehicles at the allocated space only if the vehicle / caravan / tent fits into this space.  Vehicles parked at any other space on the festival grounds will be towed away.

16.  SECURITY

As a stall holder, you will at all times be responsible for the safety of your stall, products and equipment.  There is a 24-hour service on the festival grounds for the safety of the Public.  The FZN Festival has the right to ask a stall holder to leave if he/she is guilty of misconduct or harassing another stall holder.The behaviour of a stall holder must not disturb other stall holders.

17.  INDEMNITY

The festival committee is safeguarded against any liability of claims in respect of theft, fire, vandalism and any damage or loss to equipment and products.  The committee is also safeguarded against any injury or health problems that a person might develop due to participation in the festival.

Radio FZN

Radio FZN will be broadcasting on a continual basis on the festival grounds on 13/14 May 2011. This is a wonderful opportunity to advertise your stall and products. The cost of a single advertisement is R 10-00.

General Information
